How Do I Track My Budget Month by Month in Team SPG?

Monthly Tracker is where you enter each month's real revenue and costs and measure them against the budget you built. Pick a month, type its numbers as your books close, and the tab shows year to date how far ahead or behind plan you are. Calls ran and calls sold fill in from your KTIs on their own. When December is in, Close the year rolls the twelve months into that year's Annual Totals.

Where to Find It

Open Financials > Monthly Tracker in the left sidebar. The tab opens on the current year and on the first month that still needs numbers. Use the year picker at the top right to look at another year. Fields save automatically about a second after you leave them.

What You'll Need

  • A budget for the year on the Budget tab, so the variance has something to measure against. Without one, the grid still saves your months and the tab offers to build a budget.
  • Each month's closed books: revenue, cost of sales, and overhead by category.
  • KTIs entered for the year if you want calls to fill in automatically.

Entering a Month

A strip of the twelve months runs across the top. A filled dot means the month has numbers, a hollow dot means it is open but empty, and greyed months have not happened yet. Click a month (or use the left and right arrow keys) and the form below switches to it.

The form lists the same line items you see on the Annual Totals and Budget tabs: revenue split into Service, Install, and Other; cost of sales split into Materials & Equipment, Field Labor, and Other; and the five overhead categories. Type a number in any field and it saves when you leave it. Blank fields stay blank; the month's revenue, cost of sales, overhead, and net show at the bottom of the form.

Beside the form, so far adds up every month you have entered and says how many are in. Calls shows that month's calls ran and calls sold from your KTIs. They are not typed here; enter or fix them on the KTIs page and they update.

Clear {month} at the top of the form deletes every number for that month. Use it if you entered a month by mistake. Blanking a single field removes just that number.

Seeing the whole year

Switch the toggle above the strip to All months for a twelve-column grid of every line item, with a Total column on the right and section totals at the bottom. The grid is the same data; type into it if you prefer entering several months at once. The tab remembers which view you used.

Year to Date

Under the form, four cards compare what you have entered so far with what your budget expected by the same point in the year:

  • Revenue
  • Cost of sales
  • Overhead
  • Net profit

"Expected" is your default budget's annual figure, paced to the months you have entered. If you planned by month on the Budget tab, revenue and cost of sales follow that curve; a slow January expects less than a busy July. Overhead paces evenly, because rent and insurance do not change with the season, except for the categories you ticked under Which overhead follows your season? on the Budget tab. A line under the cards says whether you are ahead of or behind plan and by how much.

Paid members also see a month-by-month variance grid under the cards, showing each month's actual, expected, and difference for every line.

Closing the Year

When all twelve months are in, the Close the year button at the end of the page turns on. Click it and the tab adds up the twelve months, pulls the year's calls and technician rows from your KTIs, and writes the result to that year on the Annual Totals tab. From then on the year is editable there like any hand-typed year, and a line under its title says when it was closed from Monthly Tracker.

If you change a tracked month after closing, both tabs show a notice that months changed since you closed. Click Re-close the year here to bring Annual Totals back in line. Anything you edited by hand on the Annual Totals tab for that year is replaced by the fresh rollup.

Frequently Asked Questions

What does the Annual Totals tab show for a year I am still tracking?

The year is listed there as in progress, with how many months are in and a button back here. Nothing is typed on the Annual Totals tab for that year until you close it, so the two tabs never disagree about the same month.

Why do the year-to-date cards ignore a month I entered?

The cards count a month once it has at least one number other than zero. If the month looks empty, check that you typed into that year; the year picker at the top right controls which year you are entering.

Can I track a year with no budget?

Yes. Your months save and closing the year still works. The variance cards need a default budget for that year to compare against, so the tab shows a button to build one.

How do tracked months help next year's plan?

The Billable Hour worksheet and the Budget tab can both start from this year's tracked months and forecast the rest of the year using your prior year's monthly pattern. If you have twelve consecutive months tracked, they can also start from your last 12 months with no forecast at all.
