How Do I Enter My Annual Totals in Team SPG?
Annual Totals are one full year of your real numbers: revenue, cost of sales, the five overhead categories, calls ran, and calls sold, labeled by year (for example, 2025 Annual Totals). Use Add a year to type a closed year from your P&L, or close a year you tracked month by month on Monthly Tracker. Nothing is created on its own. To see the billable hour that year works out to, open the worksheet from this tab.
Where to Find It
Open Financials > Annual Totals in the left sidebar. Your numbers save automatically as you type; there is no Save button.
The strip across the top shows where each year stands: the newest year you have closed here, when you last touched the Billable Hour worksheet, which budget is the default, and how many months are in on Monthly Tracker. The current step is highlighted.
Why a Year of Record Comes First
Every plan starts from a year you have already run. Annual Totals are that starting point: the real revenue, real costs, and real call counts that next year's plan has to beat. The closer these match your books, the better everything built on top of them. The Billable Hour worksheet, your budget, and Monthly Tracker all read from this tab.
Adding a Year
The first time you open the tab it is empty. Use Add a year at the top right to pick the year and start typing. If you already have a year here, a new one copies your structure (trade, overhead line items, and the advanced assumptions) but starts every dollar and call figure at zero, so last year's numbers never masquerade as this year's.
If you track KTIs in Team SPG, a new year pre-fills calls ran, calls sold, and one row per technician from that calendar year's KTIs. For the current year, the prefill covers January through today, so those figures grow as the year goes on.
The page title tells you which year you are looking at. Use the year picker at the top right to switch between your years. The tab opens on the newest year that is done.
Years in Progress on Monthly Tracker
A year you are entering month by month on Monthly Tracker shows in the picker as {year} (in progress). Opening it does not show a form; it shows how many months are in and a button to Monthly Tracker, because those numbers are changed month by month there. Once all twelve months are in, Close the year on Monthly Tracker turns the year into normal Annual Totals you can edit line by line, and a line under the title says when it was closed. If you change a tracked month later, a notice appears on both tabs until you re-close.
What You'll Need
Have these three things handy before you start:
- That year's P&L for revenue, materials and labor, and overhead spending
- Total calls ran, every call opportunity your techs ran that year
- Total calls sold, how many of those calls turned into work
Your close rate and average ticket are derived from those numbers and shown as you type. You never enter a rate directly.
Choosing Your Primary Trade
The Primary trade select (Plumbing, HVAC, or Electrical) tells the worksheet which Team SPG benchmarks to compare your numbers against. Close rate and average ticket are trade-specific because the trades genuinely differ; revenue per technician is compared across all three trades. If your shop runs more than one trade, pick the one where most of your revenue comes from.
If your technicians are already in Team SPG with trades set, the tab figures out your primary trade from your roster automatically (a mixed roster resolves to whichever trade drives the most revenue) and the select disappears.
Adding Line Item Detail
Each of the five overhead categories (Marketing, People, Operations, Vehicle & Fleet, Administrative) starts as one annual total, the fastest way to a real answer. When you want more control, click Add line item detail under any category to break it into the line items you actually manage (add, rename, delete). The category's total becomes the sum of its line items, and you can collapse back to a single total at any time.
Not sure what belongs where? Click the small info icon next to any category name to see a plain-language description and the typical line items that category covers.
Total Company vs By Tech
Inside Tell us about your shop, the year's totals section has a toggle:
- Total company enters your calls ran, calls sold, and total revenue as one company-wide number, side by side.
- By tech adds your technicians one at a time (they start as "Technician 1", "Technician 2"; click a name to rename it) and enters each tech's calls ran, calls sold, and revenue sold. Company totals become the sum of your rows, and the worksheet's report adds a How your techs compare section.
If you track KTIs in Team SPG, the Prefill from your KTIs button fills one row per technician with their real name and that year's numbers. Technicians who left your team during the year come in with a Former tag; their calls and revenue still count toward your annual totals, but they are not counted as a current truck when the worksheet sizes your capacity. Switching back to Total company never deletes your tech rows.
What Goes In
- Tell us about your shop: number of technicians, the year's calls ran, calls sold, and total revenue, plus your target net profit. Work days, billable efficiency, and annual hours per tech sit under Advanced with sensible defaults.
- Revenue stays in sync with what you entered above, and you can split it into Service vs Install; with tech rows, revenue is the sum of your techs plus an "Other revenue" line for installs or anything not attributed to a tech.
- Cost of Sales: materials and equipment, field labor, and other direct costs.
- Overhead: what you actually spent that year, by category, with optional line item detail per category.
Seeing the Billable Hour
This tab holds the numbers; the rate lives on the worksheet. Under your numbers, See {year}'s billable hour opens the Billable Hour worksheet loaded with this year, where the report shows what one billable hour actually earned, your three billable hours, per-tech results, benchmark comparisons, and the spending snapshot. Frequently Asked Questions
Should I enter a calendar year or the last 12 months?
A calendar year. Annual Totals are labeled by year (2025 Annual Totals, 2026 Annual Totals) so they line up with the P&L your accountant closes and with the budget you build for the following year. The free worksheet on our website asks for the last 12 months because a visitor has no year to pick yet; once you sign in, those numbers land on your Billable Hour worksheet, not here.
Should I type a year here or track it month by month?
Type it here when the year is already closed and you have the P&L in hand. Track it on Monthly Tracker when the year is still running: you get the year-to-date comparison against your budget as you go, and closing the year writes the annual totals here for you.
Why does the tab ask for calls instead of close rate and average ticket?
Owners know how many calls they ran and sold; rates are things you would have to compute. The tab does that math for you. Your close rate and average ticket appear as live chips under the calls fields, derived from what you entered.
Do my Annual Totals save automatically?
Yes. Every change saves to your account about a second after you stop typing; the "Last saved" time at the top of the page confirms it. There is no Save button to remember.
Where did the report go?
To the Billable Hour worksheet, so there is one place for the rate. The worksheet can load any year of Annual Totals in one click, and it can also load a budget or this year so far, which this tab could not.
