How Do I Use the Owner's Roadmap in Team SPG?
The Owner's Roadmap is your five-phase plan for building a service business that runs without heroics. Open Roadmap in the sidebar, click a phase station to expand it, and check off steps as you finish them. Some steps complete on their own when your account has the data (KTIs, a budget, a scorecard, goals). Your Home page always shows the next step up.
Reading the Map
The map is a subway line with one station per phase. A station fills in when every step in that phase is done; a ring shows partial progress. Click a station, or use the arrow keys and Enter, to open that phase and see its steps.
Each step has a checkbox, a title, a short description, and sometimes a button that takes you to the part of the portal where you do the work. Some steps also have a checklist of smaller items underneath. When every item in the checklist is done, the step checks itself off.
Steps That Complete Themselves
A step with a sparkle and an Auto-detected tag was completed from your data, not by hand. For example, the Technician KTI step completes once anyone in your company has logged a KTI, and the Budget step completes once you've entered an annual budget. These steps can't be unchecked, because the work is already done.
If you expected a step to auto-complete and it hasn't, open the linked page (for example KTIs or Financials > Annual) and confirm there is at least one saved entry. The roadmap re-checks every time you open it.
Habits and "Needs Attention"
Most steps are milestones: you do them once. A few are habits, marked with a repeat icon. A habit completes the first time you do it and stays checked. If the activity behind it goes quiet for a while, the tag changes to Needs attention. That is a nudge to get back to it, not a lost checkmark. Once the activity picks back up, the tag returns to Habit.
Checking Steps Off by Hand
- Open the phase that contains the step.
- Click the circle to the left of the step title. It fills green.
- To undo, click it again. Only steps you checked yourself can be unchecked.
For checklist items, click the small square to the left of each item. Items marked auto only complete from your data and can't be checked by hand.
Setting Your Own Date on a Step
Under any open step (or checklist item) there is a small I'll do this by… link. Click it, pick a date, and the step shows a By [date] tag. Nobody assigns these dates and nobody else sees them; they are a promise to yourself.
- The day before your date, you get an inbox note and an email reminding you.
- If the date passes and the step is still open, you get one more nudge the day after. Then it goes quiet.
- Finish the step and the date clears itself, along with any reminder still in your inbox.
- Click the tag to move the date, or the small x to remove it.
What's Next on Home
The Home page shows an Owner's Roadmap card with your progress and the next step (or checklist item) in order. Continue takes you to the page where that work happens, or to the roadmap if the step has no linked page.
For Team SPG Staff: Editing the Roadmap
The roadmap's phases, steps, checklists, and completion rules are managed from Admin > Roadmap Editor. Changes are live for members on their next page load.
- Pick a Track at the top. Each role (Owner, Technician, Manager, CSR) has its own set of phases. Only the Owner track is published today.
- Click New phase or the pencil on a phase to edit its title, subtitle, goal, and icon.
- Click Step on a phase to add a step. Give it a title, description, and an in-app link if the work happens on a specific page.
- Choose a Completion rule:
- Manual only — the member checks it off.
- Data exists — completes once the company has at least one row in the chosen table (KTIs, CSR KTIs, budgets, scorecard KPIs, goals).
- Activity count — completes after a number of events of a type. Add a window in days to make it a habit whose health is tracked.
- Course completed — completes when the member finishes a specific course.
- Another step completed — completes when a dependency step is done.
- Use the checklist icon on a step to add substeps. Each substep has its own rule and a toggle for whether members can check it off themselves.
- Turn a step off (the switch) to hide it from members without deleting it. Delete only for items created by mistake.
Members' existing progress is kept when you edit a step's text or rule. If you set a rule on a step members already checked by hand, their checkmark stays.
Frequently Asked Questions
Why can't I uncheck a step?
Steps with a sparkle were completed automatically because the matching data already exists in your account. There is nothing to undo. Steps you checked yourself can always be unchecked by clicking the circle again.
A step says "Needs attention." Did I lose my progress?
No. That step is a habit, and the activity behind it has slowed down recently. The checkmark stays. Pick the activity back up and the tag returns to Habit on the next check.
Do my team members see my roadmap?
No. Roadmap progress is per person. Technicians have their own Technician Roadmap in the sidebar, and other roles will get theirs as they're published.
Does the roadmap send me reminders?
Only ones you ask for. Set a date on a step with I'll do this by… and you get a reminder the day before, plus one the day after if it is still open. Separately, your inbox may show short coaching notes when you finish a step or a phase, or when your roadmap has been quiet for a while. You can turn coaching email off from the email preferences link at the bottom of any of those emails; inbox notes stay.
